POSITION: Events Manager

 

ACCOUNTABLE TO: Event Sales & Marketing Director, Restaurant General Managers, and ARP Corporate Team

 

PRIMARY WORK AREA:  ARP Restaurants& Local Community

SUPERVISES: Event Servers, Bartenders & Support Staff

 

PURPOSE: The Events Manager is responsible for managing events and ensuring deadlines, budgets & profitability targets are adhered to. Manages all coordination to prepare for the day of the event; is the liaison between the guest/host and restaurant staff. This person must not only be an enthusiastic representative of our restaurant, but also a familiar presence in the community and a friend to those who refer business to us. The Events Manager must be one of the most visible and accessible people on the management team.

 

QUALIFICATIONS:

 

  • Must have two years of restaurant management or comparable experience.
  • Must have two years of sales/events management or comparable experience.
  • Proficiency in MS Office, Triple Seat and/or Gather, Open Table, Apple Pages
  • Demonstrated excellence & professionalism with verbal and written communication skills. Event Managers talk to guests, listening to their needs and presenting ideas and solutions to their requirements.

  • Ability to troubleshoot critical issues in a timely fashion while keeping their cool.

  • Adept negotiation skills to provide a profitable event for the restaurant while meeting the guests needs / wants.
  • Fast problem-solving skills: Inevitably, something will go wrong at an event. Being able to quickly and seamlessly solve the issue is required.

 

KEY ACCOUNTABILITIES:

Sales Tools Development

  • Party menus to be developed with the Corp Executive Chef and approved by the Corporate Team, Events Sales & Marketing Director and the General Manager.
  • Media packages used to introduce ARP to all contacts during outside sales calls.

 

Inside Sales

  • Be a presence at the restaurants to develop a report with regular guests and restaurant staff.
  • Hand out business cards and answer any questions about the concept and company when appropriate.
  •   Follow-up correspondence to all contacts after an initial visit and when guest referrals are made. (i.e. note saying "thanks" or "nice meeting you, please let me know if I can assist you . . . “)
  •   Responsible for producing weekly “Event Sales Reports" which are to be submitted to the Events Sales & Marketing Director on a weekly basis for review. Include information about outreach efforts, event sales, feedback on events, etc.

 

OPERATIONS:

  • Respond to all guest inquiries (phone, email, Tripleseat/Gather, etc) in a timely fashion (within 24-48 hrs), and provide guests with detailed information regarding their specific request.
  • Maintain TripleSeat/Gather events calendar and update status of all events.
  • Promote, train, and educate service team on proper event procedures. Hold them to the highest standard of hospitality throughout the events. Maintain ARP service standards with regular Party Server meetings and training sessions.
  • Work closely with guest of honor to ensure all requests are met during the planning process and thru the end of the event.
  • Define the ARP company brand through events.
  • Ensure team is fully prepared for event by creating a highly detailed BEO (Banquet Event Order) using the event management software. Provide all staff & kitchen with BEO at least 2 weeks in advance to ensure preparedness.
  • Be the on-site POC for event hosts and ensure day of event goes smoothly. Present check to host upon request at the end of the event and provide receipts if needed.
  • Facilitate setting up rooms, tables, and other event decor; assist guests with set up of flowers & decorations where applicable / when agreed upon.
  • Plans menus with event host & coordinate with restaurant staff to ensure menu items are ready to go.
  • Actively develop and maintain relationships to build events business and grow sales.

 

FINANCIAL MANAGEMENT:

  • Achieve (and exceed) targeted sales goals each month.
  • Consider the displacement of regular guests when quoting event space to exceed sales.
  • Cost out food & beverage menus with Chef and General Manager to ensure profitability targets are met.

 

PHYSICAL REQUIREMENTS:

  • Requires medium to heavy work that involves walking, standing, stooping, lifting, pushing and involves exerting up to 50 pounds of force on a regular and recurring basis.
  • The job requires normal visual acuity, field of vision, hearing, speaking, color perception, and depth perception.
  • While performing the duties of this job, the employee may be required to work both indoors and outdoors as required by the function. Must have the physical ability to maneuver around restaurants, at times, walking and/or standing up to 8-12 hours daily.

•    Digital dexterity and hand/eye coordination in operation of office equipment.

  •    Ability to speak to and hear guests and/or team members via phone or in person.
  • Event Managers should always dress professionally  and present themselves as a key representative of the restaurant group.
